How one order moves through a custom business system

An example from a pipe manufacturer that sells through dealers: one system replaces the registers, spreadsheets and WhatsApp groups at every step.

Plain-English glossary

Business software terms, in plain English

ERP module
One part of an ERP (enterprise resource planning) system, such as purchase, production, stock or dispatch. We build only the modules your process needs, rather than a large package you would only partly use.
Master data
The core lists everything else depends on: products, dealers, price lists and tax codes. Clean master data is what makes reports trustworthy, so duplicates are fixed before migration.
E-invoice and IRN
Businesses above the governmentโ€™s turnover threshold must register B2B invoices on the Invoice Registration Portal, which returns an IRN and a QR code. The software requests them automatically through an authorised provider.
Tally integration
An automatic link that moves sales, receipts and stock from the new system into Tally, so nothing is re-typed and your accountant keeps working in the tool they know.
On-premise or cloud
On-premise means the software runs on a server at your office or factory; cloud means rented servers from a provider such as AWS. The choice depends on site connectivity, company policy and who will look after the server.
Parallel run
A short period when the old process and the new software run side by side, so mismatches are caught before the old way is switched off.

Frequently asked questions

Who owns the source code of the custom software you build?

You do. Our standard terms assign the intellectual property in code written for your project to you once the related invoices are paid, and repositories, cloud accounts and domains are created in your organisationโ€™s name from the start. Open-source libraries keep their own licences, which we list at handover with deployment documentation.

How do you gather requirements when our processes are not documented?

We do not expect a specification. Many businesses run on knowledge held by a few experienced people, so we interview them, observe a working day where possible and collect sample invoices, delivery challans and job cards. We then write the process back in plain language and flowcharts for you to correct, and that document drives the estimate and, later, acceptance testing.

What happens if our requirements change mid-project?

They usually do, and the process allows for it. Scope is fixed per phase rather than for the whole system, so a change found mid-phase can move into the next phase or replace work of similar size. Larger changes get a written estimate before anyone starts on them. For products that keep evolving, a monthly dedicated-team arrangement often suits better than fixed scope.

Can the software run on our own servers instead of the cloud?

Yes. Some manufacturers and hospitals prefer on-premise servers because of site connectivity or internal policy. We package applications in Docker containers so they behave the same locally as in the cloud, and plan backups, updates and remote support with your IT team. A hybrid set-up can keep the core on-premise, with a cloud API for mobile apps or dealer portals.
