How wholesale distribution actually runs

A distributor's day is beats, routes and collections. Salespeople visit a fixed set of retailers, take orders on paper or WhatsApp, and chase outstanding payments. Vans go out in the morning loaded against those orders, and cash, cheques and UPI receipts come back in the evening.

How a distributor's day runs, from beat to ledger

The same order moves from the salesperson's phone to the van and back into the ledger without being retyped.

    A geotagged check-in at each shop, with the retailer's outstanding shown before any new order is booked.

    Price lists, schemes and stock cached on the phone let orders be taken where the signal is weak; they sync later.

    Orders for tomorrow's route are grouped into a van load sheet, and invoices are created once instead of being retyped.

Distribution terms, in plain English

Beat plan
The fixed list of shops a salesperson visits on a given day. Running beats through the app shows which outlets were covered, skipped or missed, and why.
Load sheet
The list of goods loaded onto a delivery van for one route, built from that day's orders. The warehouse loads once, correctly, and the evening check-in shows exactly what came back.
Proof of delivery (POD)
Evidence that a drop was completed: an OTP, signature, photo and timestamp. It settles disputes about short or damaged deliveries in minutes instead of arguments.
Outstanding
The amount a retailer still owes across unpaid invoices. Showing it live on the salesperson's phone stops credit being extended to shops that are already behind.

FAQ

Frequently asked questions

Will the salesperson app work where connectivity is poor?

It should be built for exactly that. We cache the retailer list, price lists, schemes and recent stock on the device, so orders and collections can be recorded without a signal. Entries sync automatically when connectivity returns, with checks for stock that changed in the meantime. We test on budget Android phones and in low-network conditions, because that is where field apps usually fail.

Can retailers order in their own language?

Yes. We build retailer apps with multilingual interfaces, typically Hindi plus one or more regional languages alongside English, and keep products searchable by the names retailers actually use, including local and brand shorthand. Large buttons, image-led product lists and reorder-from-last-order flows help shopkeepers who don't want to type. Translating your catalogue content is planned as part of the project.

How does this work alongside Tally?

Most distributors keep TallyPrime for accounts, and we don't ask you to change that. Orders, invoices and receipts created in the new system can be pushed to Tally through its XML integration or a connector, and ledger balances pulled back so salespeople see current outstanding amounts. We agree up front which side creates invoices, to avoid duplicates and mismatched voucher numbers.
