Tracking is the start, not the whole job

A GPS dot on a map tells you where a truck is. It does not tell you whether the lorry receipt was issued, the e-way bill is still valid, the driver's advance is settled or the insurance renews next week.

How it works

How a trip is planned, tracked, delivered and billed

Tracking, paperwork and billing are tied to the same trip record.

  1. Control room

    Step 1: Trip planned

    A trip is created against a customer order, with vehicle, driver, lorry receipt and e-way bill details.

  2. Driver app

    Step 2: Driver starts

    The driver sees the trip in their own language, opens navigation in Google Maps and records any advance received.

  3. GPS device or driver app

    Step 3: Live tracking and alerts

    Positions stream to the control room, and stoppages, route deviations and geofence entries raise alerts.

    At the consignee, the driver captures a signature and photo, and the POD reaches the office straight away.

Plain-English glossary

Fleet terms, in plain English

LR (lorry receipt)
The transporter's document for a consignment, listing consignor, consignee and goods. The system creates it with the trip, so it is never written by hand.
E-POD
Electronic proof of delivery: the consignee's signature and a photo captured on the driver's phone. It lets you bill on the day of delivery rather than when papers come back.
AIS 140
An Indian standard for vehicle tracking devices in certain commercial and public vehicles. Devices that follow it send data in a common format, which makes integration simpler.
Detention
Time a vehicle waits beyond the agreed period at loading or unloading. Recording it from GPS data supports detention charges on the freight bill.
Geofence alert
A notification when a vehicle enters or leaves a defined area, such as a plant, a customer site or a no-entry zone.

FAQ

Frequently asked questions

Can you use our existing GPS devices, or do we need new trackers?

Usually we can use what you have. Many tracker vendors offer a platform API that returns positions and events, and devices can often be pointed at our server if the protocol is documented. AIS 140 devices follow a common standard, which helps. We ask for device models and vendor details early and check data quality before committing. For hired vehicles without trackers, the driver app can fill the gap.

Will the driver app work on basic Android phones with a weak network?

That is how we design it. The app stays light, runs on older Android versions still common among drivers, and stores trip data, photos and expenses on the phone until a connection is available. Screens use large buttons, icons and the driver's preferred language. Location updates are batched to save battery and data, and the app prompts the driver to sync after long offline stretches.

Is phone-based tracking reliable enough instead of a GPS device?

It is useful but not equivalent. Phone tracking depends on the driver keeping the app running with location on and the battery charged, and some Android brands' battery optimisation stops background tracking. It suits hired vehicles, short-haul trips and early pilots. For owned vehicles on long routes, a hardwired GPS device gives continuous data and ignition status. Many fleets use both, with the device as the primary source.

Can the system handle e-way bill updates when goods change vehicles?

Yes. When a consignment is transhipped or a vehicle breaks down, the team or driver records the new vehicle, and the system updates the e-way bill's vehicle details through a GST Suvidha Provider. It also compares e-way bill validity with the trip ETA and alerts the team before expiry, so an extension can be requested in time. Your tax adviser should confirm the rules for your consignments.
