Who it's for

Food supply businesses buy perishables, sort them and deliver to kitchens and retailers within hours. We build software that tracks quality, temperature and lots along the way.

Moving perishables from source to kitchen

Fresh produce aggregators, meat and seafood suppliers, and distributors to hotels, restaurants and caterers (HoReCa) buy from farms and mandis, grade and pack at collection centres, and deliver on tight morning schedules. Prices change daily, quality varies by lot and wastage eats margins. Software brings order by capturing lot-level data at purchase, tracking time and temperature, and letting buyers order against a daily price list.

Challenges

Supply chain problems with perishables

  1. Daily price volatility

Rates change every morning, and price lists go out as WhatsApp images.

  2. Unexplained wastage

Losses from grading, spoilage and returns aren't recorded by lot or cause.

  3. Cold-chain blind spots

Reefer and cold room temperatures checked only occasionally.

  4. B2B credit

Restaurants and retailers buy on credit, tracked in paper ledgers.

Features across the food supply chain

  • Procurement app

Purchases at farm or mandi with weight, grade, price and supplier, creating lot IDs.

  • Grading and packing

Lot-wise sorting results, pack sizes and wastage reasons.

  • Cold-chain monitoring

Readings from IoT loggers in vehicles and cold rooms, with excursion alerts.

  • B2B ordering app

Daily price lists, cut-offs, delivery slots, credit limits and invoices.

  • Lot traceability

Trace a delivery back to supplier, date and handling for FSSAI records and complaints.

How it works

How fresh produce reaches a restaurant kitchen by morning

  1. Procurement staff

Step 1: Bought at the farm or mandi

Each purchase records supplier, weight, grade and price on a phone and receives a lot ID that follows it all the way to the buyer.

  2. Collection centre

    Step 2: Graded and packed

Lots are sorted and packed by size and grade, and every kilogram rejected is logged with a reason such as bruising or size.

  3. Restaurant or retailer

Step 3: Buyers order before cut-off

HoReCa buyers order from tomorrow’s price list in the app before the evening cut-off, within their credit limit.

  4. IoT temperature loggers

Step 4: Cold chain watched overnight

Reefer and cold-room temperatures stream in, and an excursion alerts the team with the affected lots listed.

  5. Delivery partner

    Step 5: Morning delivery run

Route sheets guide the run, and proof of delivery, shortages and returns are recorded at the kitchen door.

  6. Finance and quality

Step 6: Invoice, credit and traceability

Invoices match the price locked at ordering, reminders go out before due dates, and any complaint traces back to its lot and supplier.

Then it starts again at step 1: Bought at the farm or mandi

Plain-English glossary

Food supply chain terms, explained

HoReCa
Hotels, restaurants and caterers: the trade buyers who order fresh produce every day. They need dependable morning deliveries, fixed cut-offs and clear credit terms.
Lot ID
A reference given to each batch bought from one supplier on one day. It lets you trace any delivery or complaint back to where the produce came from.
Temperature excursion
A period when a cold room or vehicle goes outside its safe temperature range. Alerts while it is happening let staff act before produce spoils.
Reefer
A refrigerated truck or van used to move perishables. Logging its temperature throughout the trip shows the cold chain was kept intact.
FSSAI records
The records India’s national food regulator expects from licensed food businesses, such as where each batch came from and how it was stored. Lot-level data makes producing them far easier.

B2B ordering app. Restaurants and retailers order from the next day’s price list, which locks when they order, so invoices match what was agreed.
  • Food supply software cold-chain monitor route map in a web browser, with stops and live positions
Cold-chain monitor. Operations see live temperatures for vans and cold rooms, with an alert when a reading stays out of range long enough to put lots at risk.
  • Food supply chain software management dashboard in a web browser, with key figures and a chart
Management dashboard. Managers see wastage by cause, tomorrow’s order book and overdue credit, the figures that decide margin in fresh produce.

Cost drivers

Cost considerations for food supply software

  1. Stages tracked

Farm-to-buyer traceability needs data capture at every handover.

  2. IoT devices

Loggers and gateways vary in connectivity and data formats.

  3. Buyer-facing apps

B2B ordering with credit and pricing rules is a product in itself.

Estimates are written from your scope, with the effort and assumptions behind each line item.

FAQ

Frequently asked questions

How do you handle prices that change every day?

Buying and selling price lists are versioned by date and, where needed, by buyer group. Your team sets the next day's prices in the dashboard, and buyers see them in the ordering app before cut-off. Orders lock the price when placed, so invoices match what was agreed. Price history also shows product margins over time, which helps when negotiating contract rates.

Which temperature monitoring devices can you integrate?

Most IoT temperature loggers send data through a cellular or Wi-Fi gateway to a vendor cloud that offers an API or webhook; some post directly over MQTT or HTTP. We integrate at whatever level the device supports, store readings against the vehicle or cold room and the lots inside, and alert your team when readings stay outside limits for too long.

Can buyers order on credit through the app?

Yes. Each buyer has a credit limit and payment terms. The app shows the outstanding balance, blocks new orders or asks for payment when limits are crossed, and sends WhatsApp reminders before due dates. UPI and bank transfers are matched to invoices automatically where the gateway or statement allows. Your finance team can override limits for trusted buyers.
