An intercity bus operator sells seats through counters, agents and apps; an employee transport contractor plans pickups for hundreds of shift workers every day; a road transporter books loads, issues lorry receipts and settles trip expenses with drivers. How an intercity bus trip runs, from seat sale to depot cash-up

  1. Counters, agents and website

    Step 1: Seats sold across every channel

    Counter clerks, agents and the online booking page sell from one live seat chart, so the same seat is never sold twice.

  2. Depot office

    Step 2: Chart closes, manifest reaches the crew

    Before departure, the passenger list with boarding points is pushed to the conductor's phone.

  3. Conductor app

    Step 3: Passengers board and walk-ins get tickets

    The conductor marks boarding and prints walk-in tickets from a Bluetooth printer, working offline between towns.

  4. Driver

    Step 4: Trip expenses recorded

    Diesel, tolls and other spends are entered against the trip, and tolls are later matched with FASTag statements.

Transport operations terms, simply explained

Passenger manifest
The list of passengers, seats and boarding points for one trip. A digital manifest that updates until departure means conductors know about online and agent bookings before the bus leaves.
Lorry receipt (LR)
The document a road transporter issues on accepting goods, also called a bilty. A digital LR can be shared instantly and linked to the freight bill, so it cannot go missing.
FASTag statement
The record of toll payments made from a vehicle's FASTag account. Matching it with trip sheets verifies drivers' toll claims without anyone checking paper slips.
Route optimisation
Software that plans pickup order and vehicle allocation within limits you set, such as maximum ride time for employees. It reduces the kilometres and vehicles a shift needs.

Frequently asked questions

Can you automate employee transport routing for shift changes?

Yes. The router takes employee addresses, shift timings, vehicle capacities and constraints such as maximum ride time or night-shift escort requirements, and proposes routes for your transport team to review. When someone takes leave or joins, routes update for the next shift. Drivers see the pickup order in their app and employees check in by OTP or QR, so billing to the client is based on actual trips.

Can trip expenses be matched with FASTag and fuel card statements?

Yes. We import FASTag and fuel card statements, from files or provider APIs where available, and match toll and diesel transactions to trips by vehicle number and time. Unmatched or unusual entries, such as a toll on a route the vehicle should not be on, are flagged. The driver's advance is then settled against verified expenses rather than paper slips, which shortens settlement and reduces disputes.

Can conductors issue tickets on a phone without internet?

Yes. A conductor app on an Android phone, optionally paired with a Bluetooth thermal printer, issues tickets from a preloaded chart and fare table, works offline between towns, and syncs collections when the bus reaches coverage. Seats sold online or by agents are pushed to the manifest before departure, and the day's cash is reconciled against issued tickets at the depot.
