How it works

How an order moves through a small business without retyping

A typical trading or distribution business, where one order used to be typed into three different places.

  1. Customer

    Step 1: Customer sends an order

    A reorder link or a WhatsApp message becomes an order in the system, with items, quantities and that customer’s price list already attached.

  2. Counter or sales staff

    Step 2: Staff confirm stock and rate

    Staff see live stock and the right rate, confirm in one tap, and the customer gets a confirmation on WhatsApp straight away.

  3. Billing module

    Step 3: GST invoice is created

    The invoice is produced from the order itself, with HSN codes and the tax breakdown filled in, so nothing is typed a second time.

Terms SMB owners ask us about

Off-the-shelf SaaS
Ready-made software you rent every month, such as an accounting or CRM product. It is quick to start and cheap upfront, but you adapt your process to it and per-user fees never stop.
Integration
A connection that lets two systems exchange data automatically, for example your order app and Tally. It is what removes the retyping that quietly costs your staff hours every week.
HSN and SAC codes
The classification codes for goods (HSN) and services (SAC) printed on GST invoices. Billing software fills them in from your item list, so invoices stay consistent and returns are easier to file.
E-invoicing
Registering B2B invoices on the government’s Invoice Registration Portal to receive a reference number and QR code. It applies above a notified turnover, so we add it as a module only when you need it.
Role-based access
Permissions set by job role, so a counter clerk can bill but cannot change prices or open profit reports. It lets owners hand over daily work without handing over control.

FAQ

Frequently asked questions

Is custom software worth it for a business our size?

Sometimes it isn't, and we'll say so. For accounting, payroll or basic invoicing, established products are usually cheaper and good enough. Custom software earns its cost when a process is specific to you, such as dealer ordering, job scheduling or multi-location stock, and the workaround costs staff hours or sales every week. If you can describe the workaround and roughly what it costs each month, a build is worth discussing.

Can you integrate our system with Tally?

Yes. TallyPrime can exchange data through XML over HTTP and through ODBC, and we use these to push sales invoices, receipts and stock movements from your custom system into Tally, so your accountant keeps working in familiar software. The design depends on whether Tally runs on one PC, a server or a remote-access setup, so we check that first.

Can we build in phases to spread the cost?

Yes, and we recommend it. Phase one covers the workflow that hurts most, for example order capture and invoicing, and goes live on its own. Later phases add stock, a customer app or reports once the first part is in daily use. Each phase has its own estimate and you can pause between releases. The architecture is planned for the full picture, so later phases extend the system rather than redo it.

Do we need e-invoicing in our billing software?

Only if your aggregate turnover is above the threshold notified for GST e-invoicing; below it, regular GST invoices are enough. The threshold has been lowered several times, so we build e-invoicing as an optional module that connects to the Invoice Registration Portal through a GST Suvidha Provider or direct API when you need it. Your CA should confirm whether it applies to you today.
