Deadlines, documents and billable hours

Company secretaries, tax practitioners, engineering consultancies and research firms share a pattern: recurring work for many clients, statutory deadlines, and documents that must arrive before anything can be filed. Much of the day goes into chasing clients over email and WhatsApp. Software turns each engagement into a checklist with owners and due dates, gives clients a secure upload point and ties time spent to invoices.

Challenges

Common pain points in service firms

  1. Document chasing

Statements, notices and signed forms arrive late and scattered across inboxes.

  2. Missed statutory dates

GST, TDS and ROC due dates tracked in spreadsheets for dozens of clients.

  3. Unbilled time

Hours on ad-hoc client queries rarely reach an invoice.

  4. Know-how in individual heads

Templates and past work are hard to find when a senior person is away.

Tools we build for firms

  • Client portal

Uploads against a checklist, filing status and invoices behind one login.

  • Compliance calendar

Recurring due dates per client, with reminders that move when dates are extended.

  • Time and engagement tracking

Timesheets linked to engagements, feeding invoices and profitability reports.

  • AI document intake

Key fields extracted from statements and notices, checked by staff before use.

  • E-sign workflows

Aadhaar-based eSign or digital signatures for engagement letters and approvals.

How it works

How a monthly compliance engagement runs

  1. Compliance calendar

    Step 1: Due dates generated

Recurring GST, TDS and ROC due dates are created for each client from rules, with an internal deadline set a few days ahead of the statutory one.

  2. Client portal

Step 2: Client asked for documents

The client receives a checklist link by WhatsApp or email, signs in with an OTP and uploads statements and invoices against each item.

  3. Firm staff

Step 3: Staff review the uploads

AI pulls key figures from the uploaded statements for staff to confirm, and reminders for anything still missing go out automatically.

  4. Assigned team

Step 4: Work prepared, time recorded

The return or filing is prepared and reviewed by a partner, and hours spent are logged against the engagement as the work happens.

  5. Client

Step 5: Client approves and filing closes

The client approves with Aadhaar eSign or a digital signature, the filing status updates and the acknowledgement is stored with the engagement.

  6. Billing

Step 6: Invoice raised, next cycle opens

Fixed fees and billable time turn into an invoice, and the next period’s tasks appear on their own.

Then it starts again at step 1: Due dates generated

Plain-English glossary

Practice software terms, in plain English

Client portal
A secure website where each client signs in to upload documents, check progress and download invoices. It replaces scattered email and WhatsApp attachments with one organised place per engagement.
Compliance calendar
A schedule of statutory due dates generated for every client from rules rather than typed by hand. When an authority extends a deadline, you change it once and every client’s reminders follow.
Aadhaar eSign
An electronic signature authenticated with an OTP sent to the signer’s Aadhaar-linked mobile. Clients sign engagement letters and approvals from anywhere; a few document types, such as wills, still need other methods.
AI document extraction
Software that reads statements and notices and pulls out fields such as dates, amounts and account numbers. Staff still confirm each value, but no longer type every figure themselves.

Client portal and practice screens

Sample screens with illustrative clients and dates.

  • Professional services software client portal documents for October GST on a phone, with 4 entries
Client portal. Each client knows which papers are still outstanding and uploads them from a phone, which ends most of the chasing.
  • Professional services software compliance calendar due this week table in a web browser, with 4 rows and status labels
Compliance calendar. The team sees every client deadline, who owns it and what it is waiting on, and dates move automatically when an authority extends them.
  • Professional services software partner dashboard in a web browser, with key figures and a chart
Partner dashboard. Partners see billable hours, unbilled time and filings at risk across the firm, so problems surface before a deadline passes.

Cost drivers

Cost considerations for service firms

  1. Service lines

Each practice area brings its own checklists, deadlines and deliverables.

  2. Integrations

Accounting software, e-sign providers and messaging each add work.

  3. AI document features

Extraction from varied formats needs testing on your real samples.

Estimates are written from your scope, with the effort and assumptions behind each line item.

FAQ

Frequently asked questions

Can clients upload documents without a complicated account?

Yes. Clients can sign in with a mobile number and one-time password, or use a secure, time-limited link sent for a specific request. Each upload lands against the right engagement and checklist item, so staff see what is still missing. Files are encrypted, access is limited to the assigned team and downloads are logged, which matters with financial statements and identity documents.

What happens when a statutory due date is extended?

Due dates are stored as editable rules, not fixed dates. When an authority extends a deadline, an administrator updates it once and every affected client's tasks and reminders move with it. The system keeps a history of the change, so you can show which date applied at the time. Many firms also set internal deadlines a few days ahead of the statutory one.

How reliable is AI extraction from client documents?

It works well on consistent, typed documents such as bank statements from major banks, and less reliably on scans or handwriting. We design it as an assistant: the system extracts fields, shows confidence and where each value came from, and a staff member confirms before the data is used. We test on a sample of your real documents before fixing the scope.
