How it works

From basket to doorbell: the journey of a grocery order

Most of the work happens inside the store, where picking, weighing and substitutions decide whether the order arrives complete.

  1. Customer app

    They fill the basket, choose express or a delivery slot, set substitution preferences and pay by UPI, card or on delivery.

Grocery delivery terms, in plain English

Dark store
A pick-only store: shelves and stock like a supermarket, but no walk-in shoppers, so staff can pick online orders fast. It suits dense neighbourhoods where quick delivery matters, though each one adds rent and stock to manage.
POS stock sync
Keeping the app’s stock and prices in step with the billing software at your counters. Walk-in sales keep emptying shelves, so how often you sync, and the buffer kept on fast sellers, decides how often customers order something already gone.
Slot capacity
The number of orders a store can pick and deliver in each time slot, based on the pickers and delivery partners actually on shift. Closing a slot once it is full prevents late orders.
Weighted items
Products sold by weight, such as vegetables or loose dal, where the picked quantity rarely matches the order exactly. The app records the actual weight and adjusts the bill or refund automatically.
Substitution preference
The customer’s choice, per item, of what happens if something is out of stock: replace it with a similar product, call first or refund. Following it keeps trust when shelves run short.
Dynamic UPI QR
A QR code generated for one specific order and amount, shown on the delivery partner’s phone. The payment is matched to the order automatically, with no screenshots or manual checks.

Frequently asked questions

How do you handle loose items sold by weight?

Weighted items are ordered by approximate quantity with an estimated price. At picking, the store app records the actual weight and updates the order total. For prepaid orders, pickers work within a tolerance you set and any shortfall is refunded automatically; pay-on-delivery orders collect the final amount at the door. Every adjustment appears on the invoice.

Can the app use stock from our existing billing software?

Usually. Many retail POS and ERP systems used in India, such as GoFrugal, Marg or Tally-based setups, share stock and prices through an API, a database connector or scheduled files. We sync at an interval that matches how fast stock moves, keep a buffer on fast sellers, and let staff mark items out of stock instantly.

How do substitutions work when an item runs out?

At checkout, customers choose per item or per order: replace with a similar product, call me, or refund. When a picker marks an item unavailable, the store app suggests substitutes by brand, size and price. The substitute is then added directly or sent for approval by push or WhatsApp with a short timeout, and price differences settle automatically.

Can a single supermarket start with a smaller version?

Yes. A single-store launch can use a customer app, a tablet-friendly store panel, a basic delivery partner app and the admin dashboard, with slots instead of express. Multi-store routing, dark-store features and loyalty can follow, on a data model planned for growth, so adding stores later does not mean a rebuild.

How is payment collected at the doorstep?

The delivery partner app shows a dynamic UPI QR code tied to that order, so payment is matched automatically, and records cash where you accept it. At shift end, the dashboard shows each partner's cash in hand against orders delivered, and deposits are logged on handover, removing much of the manual reconciliation that makes COD painful.
