Bookings built around stylists, chairs and rooms

A salon booking system has to understand that services have durations, that some include processing time when the stylist can start another client, and that some need a particular room or chair. It also has to cope with walk-ins, who make up a large share of visits in many neighbourhood salons.

We model each branch's staff, skills, hours and resources, then let clients book through the salon booking app or at the front desk against one live calendar. Billing, packages, memberships and product sales sit in the same system, so owners see revenue per stylist and service without end-of-day tallies.

Challenges

Common salon and spa headaches

  1. No-shows on weekend peaks

Deposits for long services, plus WhatsApp reminders with one-tap confirm or reschedule.

  2. Walk-ins clashing with online bookings

A front-desk queue that fits walk-ins into gaps without moving confirmed clients.

  3. Packages tracked on paper

Remaining sessions and membership discounts applied automatically at billing.

  4. Commission disputes

Stylist commission calculated from billed services and products, not a register.

How it works

How a salon booking flows from app to bill

Online bookings, walk-ins and billing share one calendar, so the front desk and clients always see the same day.

  1. Client app

Step 1: Client picks service and stylist

Clients choose services and a stylist or "any available", and see only times when the stylist and a chair or room are free.

  2. Client app and WhatsApp

    Step 2: Deposit and reminder

Long services can ask for a small deposit by UPI; the confirmation and a reminder go out on WhatsApp.

  3. Front-desk console

Step 3: Walk-ins fitted into gaps

Reception adds walk-ins into free gaps on the same calendar without moving confirmed clients.

  4. Stylist

Step 4: Service with processing time

While hair colour processes, the stylist can take a quick service, and spa rooms stay reserved for the full session.

  5. Front-desk console

    Step 5: Billing

One GST bill combines services, products and package sessions, with split payment across UPI, card and cash.

  6. Client app

    Step 6: Loyalty and rebooking

Points and remaining package sessions update automatically, and a rebooking prompt goes out when the next visit is due.

Then it starts again at step 1: Client picks service and stylist

Plain-English glossary

Salon software terms, in plain English

Resource-aware scheduling
Booking that checks the stylist, the chair or room and any equipment together, so a couples massage never lands in a room that is already taken.
Processing time
The part of a service, such as hair colour setting, when the client waits and the stylist is free. Modelling it lets you fit a quick service into that gap.
Package and membership balance
Prepaid sessions or discounts a client has bought. The system tracks what is left and applies it at billing, so nobody relies on a paper card.
Booking deposit
A small advance taken when a long service is booked. It discourages last-minute no-shows on busy weekends and is adjusted in the final bill.
WhatsApp message templates
Pre-approved message formats needed to send reminders and confirmations through the WhatsApp Business Platform. We draft them with you and submit them for approval.

Cost drivers

What changes the scope of a salon app

  1. Single salon or chain

Branches need central catalogues, branch pricing, staff transfers and consolidated reports.

  2. Resource-aware scheduling

Booking by stylist alone is simpler than modelling rooms, equipment and processing gaps.

  3. Prepaid products

Packages, memberships, gift cards and loyalty each add balances, expiry and redemption rules.

  4. At-home services

Service areas, travel buffers and a staff app for home visits add a second operating mode.

Estimates are written from your scope, with the effort and assumptions behind each line item.

FAQ

Frequently asked questions

Can clients book a specific stylist, or should the system choose one?

Both work side by side. Clients with a preferred stylist book them directly, and senior stylists can carry a higher price tier. Clients who choose "any available" are assigned by the system, which balances load and fills gaps in the day. You can also hide some staff from online booking, such as trainees, while keeping them bookable at the front desk.

How do you handle services with processing time, like hair colour?

We split such services into active and processing segments. During processing, the stylist is free for a short service such as a blow-dry while the client waits. Clean-up buffers are configurable per service. For spas, the room stays reserved for the full duration while therapists move between sessions, which prevents double-booked rooms even when staff calendars look free.

Can the software replace our current billing and inventory tool?

Yes, if billing and stock are in scope. We migrate your client list, service menu, active packages and membership balances, then run both systems in parallel briefly so staff can compare bills. If you prefer to keep your accounting setup, we export daily sales and GST summaries instead. Package balances need the most care, because clients notice at once when a prepaid session goes missing.

Is a full app necessary for a single salon?

Often not. A single salon may be well served by a web booking page or progressive web app with WhatsApp reminders, or by an existing salon software subscription. A branded app becomes worthwhile for chains, for businesses selling memberships and loyalty programmes, and for at-home services with frequent repeat bookings. We will recommend the lighter option when it fits.
