How a salon appointment flows from booking to the next visit

One client record follows the visit from booking to bill, so the next stylist knows exactly what was done.

  1. Client app or website

    Step 1: Client books a service and stylist

    A client picks a keratin treatment, a preferred stylist and a time. The calendar only offers slots long enough for that service, with a suitable chair free.

    Step 2: A deposit secures the slot

    For bridal, colour or long treatments, a UPI deposit link confirms the booking. WhatsApp reminders go out the day before, which cuts peak-hour no-shows.

  3. Front-desk tablet

    Step 3: Reception checks the client in

    Reception sees past colour formulas, sensitivities and patch-test dates, and fits walk-ins around booked chairs using the live queue.

  4. Staff app

    Step 4: Stylist records the service

    The stylist notes the formula used and the back-bar products consumed, so stock and the client record update together.

Plain-English glossary

Salon software terms, in plain English

Back-bar products
Colour, developer, shampoo and treatment products used on clients during a service, as opposed to retail products sold to take home. Tracking them per service shows the true cost of each appointment and where stock quietly disappears.
Patch test
A small skin test done before hair colour or some treatments, usually 48 hours ahead, to check for a reaction. The software stores the test date and can warn reception when a colour booking has no recent test on record.
Prepaid package
A bundle of sessions a client pays for upfront, such as six hair spas. Each visit deducts one session automatically, so reception never checks a paper card and the client can see what is left.
Tiered commission
A commission rate that rises once a stylist passes a monthly sales target. Calculating it in software removes month-end disputes and lets stylists track their own progress.

FAQ

Frequently asked questions

Can salon software handle walk-ins as well as online bookings?

Yes. The calendar shows a live walk-in queue beside booked appointments. Reception adds a walk-in, the system suggests the next free stylist with the right skill, and the client gets a wait estimate on WhatsApp. Online bookings block that stylist’s time immediately, so walk-ins never land in a chair already committed.

How are stylist commissions calculated?

You set rules per service, product or package: flat, percentage or tiered rates that rise after a monthly target. When a visit is shared, say a cut by one stylist and colour by another, each gets their portion. Owners get a monthly report ready for payroll; stylists see their own figures in the staff app.

Does each branch of a salon chain need its own app?

No. One app and one dashboard serve every branch. Clients pick a branch while booking, and each branch manager sees only their own calendar, staff and stock. Owners see consolidated revenue and compare branches side by side, and franchise partners can get a login with only the reports you choose to share.
