The engineering behind a booking platform

Unlike a travel agency, a booking platform is a software product first: many searches, a small share of bookings, and a promise that the fare shown is the fare charged. Behind the search box sit supplier APIs with rate limits and look-to-book ratios, fare rules, holds that expire and ticketing that can fail after payment. We build these platforms for OTAs, B2B distributors and companies adding travel to an existing product.

Challenges

Hard problems in travel booking

  1. Slow, costly searches

Live searches hit supplier APIs that can be slow and may penalise high look-to-book ratios.

  2. Prices that change at checkout

Fares and room rates move between search and payment.

  3. Payment taken, booking failed

Ticketing errors after payment need retries, alerts and automatic refunds.

  4. Agent credit and reconciliation

B2B agents book on wallet balance or credit, and every booking must match supplier invoices.

Core modules of a booking platform

  • Search and caching layer

Results aggregated from several suppliers, de-duplicated hotels and cached fares with sensible expiry.

  • Markup and commission engine

Rules by supplier, route, agent tier or channel, applied across web, app and API.

  • Booking state machine

Hold, pay, ticket, confirm and cancel steps tracked explicitly, with alerts at each failure point.

  • Agent wallet and credit

Top-ups through UPI or bank transfer, credit limits and a ledger for every agent.

  • Cancellations and refunds

Supplier rules applied, gateway refunds pushed and GST credit notes issued.

How it works

Inside a single booking, from search to ticket

  1. Customer or B2B agent

Step 1: Customer or agent searches

The search layer asks several suppliers at once with strict time limits and shows cached fares first, so results appear in seconds rather than after the slowest supplier.

  2. Booking engine

Step 2: Chosen option is re-priced

Before payment the selected fare or room is checked again with the supplier, and any change is shown to the customer before they pay, never after.

  3. Customer

    Step 3: Hold and payment

The seat or room is held while payment goes through by UPI or card, or from an agent’s wallet, and the booking moves to a paid state.

  4. Supplier API

Step 4: Ticketing call to the supplier

The ticket or confirmation is requested. If the supplier fails, the system retries where allowed and alerts operations instead of failing quietly.

  5. Operations team

    Step 5: Confirmed or refunded

The customer receives the e-ticket or voucher; if confirmation cannot complete within the set window, a gateway refund is issued and logged.

  6. Finance team

    Step 6: Reconciliation

Bookings are matched with supplier invoices, agent wallet debits and commissions, and cancellations get GST credit notes.

Platforms

Where the booking platform runs

  • Web

    Web application

Browser-based applications with logins, roles and workflows, such as customer portals, SaaS products and internal tools.

Plain-English glossary

Booking platform terms, explained

Look-to-book ratio
How many searches a platform sends to a supplier for every booking it completes. Suppliers watch it closely, and a very high ratio can bring charges or limits, which is why caching matters.
Fare caching
Storing recent fares for a few minutes in a fast in-memory store such as Redis. Repeat searches return instantly and supplier calls drop, while a final re-price protects the customer.
Booking state machine
A fixed set of stages every booking passes through, such as held, paid, ticketed and confirmed. It makes stuck bookings visible and stops money being taken for tickets never issued.
Agent wallet
A prepaid balance a B2B travel agent tops up and books against. Agents skip per-booking payments, and you keep a clear ledger of who has paid and who owes what.
White-label booking site
A booking website under an agent’s own brand and domain that draws on your inventory. It widens your distribution without every agent building a platform of their own.

Cost drivers

What drives effort in booking platforms

  1. Number of suppliers

Each supplier adds mapping, certification and failure handling; hotel content mapping is significant work.

  2. Products offered

Flights, hotels, buses and activities each have different flows and cancellation rules.

  3. B2B features

Agent onboarding, wallets, credit and white-label sites form a layer on top of B2C.

Estimates are written from your scope, with the effort and assumptions behind each line item.

FAQ

Frequently asked questions

How do you keep search fast when supplier APIs are slow?

We query suppliers in parallel with strict timeouts, show results as they arrive, and cache fares and rates in Redis for a short, supplier-appropriate window. Static content such as hotel descriptions and images is stored locally and refreshed on a schedule, so only price and availability are fetched live. Before payment we re-price the chosen option, so any change appears before the customer is charged.

What happens if payment succeeds but ticketing fails?

The booking moves to a pending state rather than failing silently. The system retries ticketing where the supplier allows, alerts your operations team and tells the customer the booking is being confirmed. If it still can't complete within a set window, a refund is triggered through the gateway and logged. We design this flow early, because it is where customer trust is won or lost.

Can we offer white-label booking sites to our B2B agents?

Yes. Each agent gets a subdomain or their own domain with their branding, drawing on your inventory with their markups on top of your B2B rates. Bookings draw down the agent's wallet or credit line, and your dashboard shows performance and outstanding balances per agent. Logos and colours are simple; custom products and pricing rules per agent take longer.
