Who it's for

Hospitality here means the businesses around the room night: resorts, banquet and wedding venues, clubs and multi-outlet groups. We build the tools that tie those outlets together.

Cost depends on
  • Outlets and systems to connect
  • Event package complexity
  • Member and guest apps

How to start

Tell us what you need in your own words. You talk to the developers who would build it and get a written, line-item estimate.

One guest, many outlets

A resort or hospitality group earns from rooms, restaurants, spas, banquets and memberships, and each outlet often keeps its own register or POS. Guests see one brand; the business sees fragmented data. Wedding and banquet business adds enquiries months ahead, menu and décor packages, staggered advances and changing guest counts. We build the connecting layer: shared guest profiles, event booking, membership benefits and feedback that reaches the right manager.

Challenges

What makes hospitality hard to systemise

  1. Event enquiries on spreadsheets

Banquet teams lose track of tentative holds, date clashes and advances.

  2. No single guest view

Spa, restaurant and room spend sits in separate systems, so repeat guests go unrecognised.

  3. Membership rules on paper

Clubs track entitlements, guest passes and dues by hand, which invites disputes.

  4. Feedback that arrives too late

Complaints surface on review sites after checkout instead of reaching a duty manager during the stay.

Capabilities for venues, resorts and clubs

  • Banquet and event booking

Hall availability, expiring holds, menu and décor packages, and advance schedules with payment links.

  • Membership management

Tiers, dues through UPI AutoPay or cards, guest passes and facility booking.

  • Unified guest profile

Preferences, visits and spend combined from outlet POS and booking data, with consent recorded.

  • In-stay feedback

QR feedback at each outlet that alerts the duty manager when a score is low.

  • Staff SOP and rostering app

Rosters, checklists and training in regional languages for large service teams.

How it works

How a banquet enquiry turns into a well-run event

  1. Banquet sales

Step 1: Enquiry and tentative hold

The date, hall and expected guest count are entered and a hold is placed with an expiry, so any clash with another booking shows up immediately.

  2. Banquet sales

    Step 2: Package and quote

Per-plate menus, décor add-ons and taxes combine into one quote that the family or company can review and accept online.

  3. Client

Step 3: Advance paid, event confirmed

The advance is paid by UPI or card from a link sent to the client, and the hold turns into a confirmed event with dates for the remaining instalments.

  4. Kitchen and operations

Step 4: Brief reaches every team

Final guest count, menu choices and décor notes flow to kitchen, service and décor as one brief, updated automatically when numbers change.

  5. Duty manager

Step 5: Event day with live feedback

Staff work from the run sheet, and QR feedback during the event alerts the duty manager to a low score early enough to fix it on the spot.

  6. Accounts

Step 6: Final bill and guest history

Extra plates and add-ons are settled against the advance, and the guest profile records the event for anniversary offers and repeat bookings.

Plain-English glossary

Hospitality terms in plain words

Tentative hold
A provisional reservation of a hall and date that lapses automatically if the advance does not arrive in time. It keeps the banquet calendar honest without sales chasing every enquiry.
Unified guest profile
One record of a guest’s stays, meals, spa visits and spend across all your outlets. It lets staff recognise regulars and send offers that match what they actually enjoy.
Outlet POS
The billing system at each restaurant, bar or spa counter. Connecting these is how spend from separate outlets reaches one guest profile and one report.
UPI AutoPay mandate
A standing instruction a member sets up one time from their UPI app, after which club dues are debited on schedule within the limit they chose. It cuts overdue dues without manual reminders.
Progressive web app (PWA)
A mobile website that members can add to their home screen and use much like an app, without app-store releases. It is a lighter way to launch a member app and test demand first.

What sales teams, members and duty managers see

Illustrative screens with sample data; halls, packages and rules are set up for each venue.

  • Hospitality software banquet sales calendar booking slots in a web browser, with open time slots
Banquet sales calendar. Sales sees every hall, date and tentative hold on one calendar, so two families are never promised the same evening.
  • Hospitality software club member app booking slots on a phone, with open time slots
Club member app. Members book courts, spa slots or guest passes within the club’s own limits, while dues run on UPI AutoPay in the background.
  • Hospitality software duty manager tablet live feedback alerts on a tablet, with 4 entries
Duty manager tablet. Low scores from any outlet reach the duty manager during the stay, before an unhappy guest turns the complaint into a public review.

Cost drivers

Budget considerations for hospitality software

  1. Outlets and systems to connect

Each POS, PMS or spa system adds integration and data-mapping work.

  2. Event package complexity

Per-plate pricing, décor add-ons and revised guest counts need careful quote logic.

  3. Member and guest apps

A store app adds design, releases and upkeep; a PWA is a lighter start.

Estimates are written from your scope, with the effort and assumptions behind each line item.

FAQ

Frequently asked questions

Can a banquet booking system handle tentative holds and advances?

Yes. Each enquiry becomes a hold on a hall and date with an expiry, so sales sees clashes immediately and the hold lapses if the advance doesn't arrive. Confirmed events carry a payment schedule with UPI or card links and receipts. Menu choices, guest counts and décor add-ons stay attached to the event, so kitchen and operations work from the same brief.

Can club members book courts, rooms or spa slots from an app?

Yes. Facility booking follows your club's rules: advance-booking windows, per-member limits, guest charges and peak-hour restrictions. Dues can be collected through UPI AutoPay mandates or card subscriptions, with reminders before each debit. Many clubs start with a progressive web app that members open from a link, and move to store apps once usage justifies the upkeep.

How do you protect guest data collected across outlets?

We record what each guest has consented to, keep marketing preferences separate from service data, and restrict who can export profiles. Data is encrypted in transit and at rest, and access is logged. The Digital Personal Data Protection Act 2023 expects guests to be able to withdraw consent, so we build those flows in from the start; your legal adviser reviews the notices.
