Running a hotel between OTAs, walk-ins and the front desk

Independent hotels sell rooms through OTAs, their own website and walk-ins, with a channel manager syncing availability and a property management system (PMS) running check-ins and folios. The gaps sit around those systems: a booking engine that converts poorly, paper guest registration, and housekeeping updates passed along by phone. How it works

What happens between a direct booking and checkout

  1. Guest

    Step 1: Guest books on your website

    The booking engine shows live rates, offers extras such as an airport pickup and takes payment by UPI or card, with no OTA commission on the room.

  2. Channel manager and PMS

    Step 2: Availability closes everywhere

    The reservation reaches the channel manager and PMS, which close that room on every OTA almost at once, so the same night is not sold twice.

  3. Guest

    Step 3: Guest completes pre-check-in

    Before arrival the guest shares ID, arrival time and, for foreign nationals, passport and visa details for Form C, so the desk only verifies the originals.

  4. Housekeeping staff

    Step 4: Room made ready

    Housekeepers mark the room cleaned and the supervisor marks it inspected on a phone; the front desk sees it turn ready without picking up the intercom.

  5. Front desk

    Step 5: In-stay requests handled

    WhatsApp requests for towels, late checkout or a dinner table are routed to the right department and tracked until someone closes them.

    Step 6: Checkout on one folio

Hotel software terms, explained

PMS (property management system)
The core hotel system for reservations, check-ins, room status and guest folios. New tools should read from and write to it, so staff keep one source of truth instead of two.
Channel manager
Software that pushes your room availability and rates to every OTA and your own website at once. It is what stops one room being sold on two sites for the same night.
OTA (online travel agency)
A third-party booking site that sells your rooms in return for a commission. A strong direct booking engine wins back guests who already know your hotel, without that commission.
Form C
The online report of a foreign guest’s passport and visa details that hotels in India submit to the immigration authorities. Collecting those details before arrival makes check-in quicker for international guests.
ADR (average daily rate)
Room revenue divided by the number of rooms sold in a period. Read next to occupancy, it shows whether rooms are being filled through heavy discounting.

FAQ

Frequently asked questions

Will a custom booking engine work with our existing channel manager?

Usually, if the channel manager offers booking-engine connectivity. Providers such as SiteMinder, STAAH and eZee publish integration options, though access terms differ and some need a partner agreement or fees. Reservations flow from the booking engine into the channel manager, which updates every OTA. We confirm API access with your provider before quoting, since it decides effort and timeline.

Can guests complete check-in on their phones?

Most of it. A pre-check-in link collects arrival time, ID documents and, for foreign guests, the passport and visa details needed for Form C reporting. The front desk still checks the original document on arrival. ID images are encrypted, visible only to authorised staff and deleted on a schedule you set, which supports your DPDP Act obligations.

Do we need to replace our PMS to get these features?

No. Most of our hotel work sits around an existing PMS: a booking engine, messaging, housekeeping and reporting that read from and write to it. Replacing a PMS is a risky change for a working hotel, so we only suggest custom property software when your inventory genuinely doesn't fit available products, such as tents, dorm beds or rooms sold as a unit.
