B2B buying is not retail with bigger carts

Business buyers expect prices negotiated for their account, credit terms, minimum order quantities and invoices that carry their GSTIN. Orders are often large, repeated monthly and approved by someone other than the person placing them.

We build B2B commerce portals and apps that encode these rules: customer-specific catalogues and price lists, quote requests for non-standard orders, credit checks at checkout and a clean handoff to your ERP for invoicing and dispatch.

Challenges

Friction in business-to-business ordering

  1. Orders in every format

Emails, PDFs, calls and WhatsApp messages retyped by the sales team, with errors.

  2. Pricing complexity

Contract prices, slabs and schemes that differ by customer, region and quantity.

  3. Credit exposure

Orders shipped to accounts already past their credit limit or overdue.

  4. Disconnected ERP

Web orders re-entered by hand into SAP Business One, TallyPrime or a custom ERP.

What our B2B portals include

  • Account-specific price lists

Contract prices, quantity slabs and schemes applied automatically per buyer.

  • Bulk and repeat ordering

CSV upload, quick order by SKU, saved lists and one-click reorder of past orders.

  • Quotes and RFQs

Buyers request quotes; your sales team negotiates and converts them to orders.

  • Credit limits and terms

Checkout checks outstanding balance and terms; overdue accounts are held for approval.

  • Multi-user buyer accounts

Requester and approver roles with order approval workflows.

  • GST and e-invoicing handoff

Invoices with buyer GSTIN, IRN generation via your ERP or GSP, and e-way bill data.

How it works

How a business buyer's order reaches your ERP

The portal applies each account's terms, so your sales team handles exceptions instead of retyping orders.

  1. Buyer portal

Step 1: Buyer logs in and sees their prices

Contract prices, quantity slabs and schemes for that account appear automatically; other customers' prices stay hidden.

  2. Purchasing staff

Step 2: Order built in bulk

Quick order by SKU, a CSV upload or a repeat of last month's list fills the cart in minutes.

  3. Approver

Step 3: Buyer's approver signs off

Multi-user accounts route large orders to a manager at the buying company before they are placed.

  4. Portal

Step 4: Credit is checked at checkout

Outstanding balance and payment terms are checked, and orders from overdue accounts are held for your finance team.

  5. Integration

Step 5: Order flows into the ERP

The confirmed order reaches your ERP for invoicing with the buyer's GSTIN, IRN generation and e-way bill data.

  6. Warehouse

Step 6: Dispatch and invoices visible to the buyer

Buyers see dispatch status and download invoices under their account, ready for the next reorder.

Plain-English glossary

B2B ordering terms, in plain English

RFQ (request for quotation)
A buyer's request for a price on a non-standard order, such as unusual quantities or specifications. Handling RFQs inside the portal keeps the negotiation and the final order in one record.
MOQ (minimum order quantity)
The smallest quantity you accept per product or per order. The portal enforces it at checkout, so your team is not chasing orders too small to ship profitably.
GSTIN
The 15-character GST registration number of a business. B2B invoices must carry the buyer's GSTIN so they can claim input tax credit, which is why the portal stores it per account and branch.
IRN and e-invoicing
The invoice reference number issued when a B2B invoice is registered on the government's e-invoicing system. Businesses above the notified turnover threshold need it, so the handoff to your ERP or GSP must carry clean data.

Cost drivers

Budget drivers for B2B commerce

  1. Pricing rule complexity

Contract prices and schemes must be modelled and tested against real invoices.

  2. ERP integration depth

One-way order export is simpler than two-way sync of stock, prices, credit and invoices.

  3. Buyer account structure

Multi-branch buyers with approval chains need more roles and workflow screens.

Estimates are written from your scope, with the effort and assumptions behind each line item.

FAQ

Frequently asked questions

Can the portal show different prices to each customer?

Yes. We model price lists at the level you need: per customer, customer group, region or contract, with quantity slabs and time-bound schemes layered on top. Buyers see only their own prices after login. Rules are managed from an admin screen, and before launch we test them against a sample of your real invoices so the portal's totals match what your finance team expects.

Which ERPs can you integrate with?

We build against the integration styles common in Indian businesses: REST or SOAP APIs, database connectors, scheduled file exchange and TallyPrime's XML interface. SAP Business One, Microsoft Dynamics and Zoho Books all offer APIs; older or heavily customised ERPs may need a middleware layer. Scope depends on direction and frequency, so we first agree which system owns stock, prices, credit and invoices.

Can buyers still order on WhatsApp?

Many buyers prefer it, so we often keep WhatsApp as a channel rather than fighting it. Through the WhatsApp Business Platform, buyers can receive catalogues, reorder links and order status, and messages can create draft orders for your sales team to confirm. For free-text or PDF purchase orders, AI document processing can extract line items for human review before they become orders.
