Who it's for

Rental managers run many homes owned by different people and listed on several platforms at once. We build the booking, calendar, cleaning and owner-reporting tools that keep that portfolio in order.

Managing homes you don't own, on platforms you don't control

A villa or homestay manager might run dozens of properties across Goa, the hills or a city, each with its own owner, house rules and pricing. Bookings arrive from Airbnb, Booking.com, direct enquiries and repeat guests, and every stay triggers cleaning, a check-in and an owner payout. Software earns its keep by keeping calendars consistent, automating turnovers and making owner accounting easy to verify.

Challenges

Headaches in a growing rental portfolio

  1. Double bookings

Manual or slow calendar sync lets two platforms sell the same dates.

  2. Owner payout disputes

Commissions, cleaning charges and damages worked out in spreadsheets are hard for owners to check.

  3. Turnover coordination

Caretakers get schedules by phone, and a missed turnover means a bad review.

  4. Guest verification

ID checks and refundable deposits are handled differently at every property.

Tools for villas and homestays

  • Direct booking website

Property pages, availability search, UPI and card payments, and refundable deposits.

  • Calendar sync

iCal feeds with Airbnb, Booking.com and Vrbo, or channel manager APIs for faster sync.

  • Turnover app

Cleaning and inspection tasks created at checkout, with photo proof from caretakers.

  • Owner portal

Monthly statements of bookings, commissions, expenses and payouts per property.

  • Guest ID capture

Pre-arrival ID upload, including Form C details for foreign guests, with restricted access.

How it works

One stay, from booking to owner payout

  1. Guest

Step 1: A stay is booked

The booking comes from your website or a listing platform; direct guests pay by UPI or card together with a refundable security deposit.

  2. Calendar sync

Step 2: Other calendars block the dates

iCal feeds or a channel manager close the same dates on every other platform, which is what keeps double bookings away.

  3. Guest

Step 3: Guest ID collected before arrival

The guest uploads ID, plus Form C details for foreign nationals, and only the staff who need it can open the files.

  4. Caretaker

    Step 4: Turnover after checkout

Checkout creates a cleaning and inspection task; the caretaker ticks the checklist and adds photos, so the next guest walks into a ready home.

  5. Property manager

Step 5: Deposit returned or held

A clear inspection triggers the deposit refund from the dashboard, while any damage is logged with photos against the booking.

  6. Owner portal

Step 6: Owner sees the month

Each month owners see bookings, commissions, cleaning charges and the net payout for their home, with a downloadable statement.

Plain-English glossary

Rental management terms, simply put

iCal feed
A calendar link that each listing platform publishes and reads to share blocked dates. It is free and simple to set up, but updates arrive on each platform’s schedule rather than instantly.
Channel manager
A service that connects to listing platforms through their official interfaces and updates availability within moments. It suits portfolios where iCal delays have started causing double bookings.
Turnover
The clean, linen change and inspection between one guest leaving and the next arriving. Treating it as a tracked task with photo proof protects your reviews.
Owner statement
A monthly breakdown of bookings, commissions, expenses and the net amount paid to a home’s owner. Clear statements keep owners confident enough to stay with you.

Owner portal. Owners check every booking, commission and expense behind their payout, so monthly disputes become quick questions about a single line.

Cost drivers

Cost considerations for rental software

  1. Sync method

iCal is simple but delayed; real-time channel manager APIs cost more to integrate.

  2. Owner accounting rules

Varied commission models, expense pass-throughs and tax treatment add logic.

  3. Portfolio size

More homes bring more pricing rules, staff users and reports.

Estimates are written from your scope, with the effort and assumptions behind each line item.

FAQ

Frequently asked questions

Is iCal sync enough to prevent double bookings?

For a small portfolio it often is. The catch is that iCal feeds refresh on each platform's own schedule, not instantly, so there is a window between a booking on one site and the block appearing on another. On high-demand, last-minute dates that window causes double bookings. Larger managers add a channel manager with API connectivity; we can start with iCal and switch when volume justifies it.

Can owners see their earnings without calling us?

Yes. An owner portal lists every booking on their property with the gross amount, platform and management commissions, cleaning and maintenance charges, and the net payout. Monthly statements download as PDFs, and owners can raise a query against a specific line. Because the figures come from the records your team works from, disagreements tend to be about terms rather than arithmetic.

Can we take a security deposit online?

Yes. The usual approaches are collecting a refundable deposit with the booking and returning it after the checkout inspection, or requesting it shortly before arrival. With Razorpay and similar gateways, the refund is triggered from your dashboard once the caretaker marks the inspection clear. Spell out deposit terms and deduction rules on the booking page so guests accept them before paying.
