How a breakdown call is closed and billed

  1. Plant customer

    Step 1: Customer logs a call

    A breakdown or service request comes in by phone, WhatsApp or a QR scan on the machine, and is matched to the asset and its AMC.

  2. Service coordinator

    Step 2: Engineer assigned

    The nearest qualified engineer carrying the right spares is assigned, and the customer is told who is coming and roughly when.

  3. Field service app

    Step 3: Work done on site, even offline

    The engineer scans the asset’s QR tag, opens its history and manual, and completes the checklist with photos without needing signal.

  4. Plant in-charge

    Step 4: Customer signs off

    The plant in-charge signs on the engineer’s phone, and parts used are deducted from the engineer’s van stock.

  5. Back office

    Step 5: Cover checked, invoice drafted

    Work covered by the AMC is logged against it, while chargeable parts and labour create a draft GST invoice for review.

  6. Maintenance scheduler

    Step 6: Next visit planned

    Running hours or calendar rules create the next preventive visit, and a renewal reminder goes out well before the AMC expires.

Industrial service terms, explained

AMC (annual maintenance contract)
A yearly contract covering planned visits, breakdown support and sometimes parts for a machine. Tracking entitlements per asset stops free work outside cover and missed renewals.
Preventive maintenance
Servicing planned by running hours or calendar before something fails. It costs customers less than breakdowns and gives your team steady work you can schedule.
Asset register
A record of every machine you have installed or operate, with location, warranty and service history. A QR tag on each machine puts that history one scan away for engineers.
EHS reporting
Environment, health and safety records: permits, incident and near-miss reports, and inspections. Keeping them digitally makes overdue actions and repeat hazards easy to spot.
Permit-to-work
A formal authorisation required before risky work, such as hot work or confined-space entry, begins. A digital permit shows who approved what and when, for every job.

Will the field app work at sites with no mobile signal?

Yes. Engineers download assigned jobs, checklists, asset history and manuals before leaving, complete everything offline including photos and customer signatures, and the app syncs when a connection returns. Conflicts, such as two people editing one job, follow clear rules rather than silent overwrites. We test on the phones your engineers actually carry, including lower-end Android models with limited storage.

Can engineers find answers in equipment manuals quickly?

Yes. We index your manuals, service bulletins and past visit reports so engineers can search in plain language from the app, with answers linked to the exact page. The AI works only from your documents, not the open internet, and summarises rather than invents procedures. For safety-critical steps, the app shows the original manual section rather than a paraphrase.

Can AMC visits and chargeable spares be billed automatically?

Yes. When an engineer closes a job, the system checks the asset's contract: covered visits are logged against the AMC, while chargeable parts and labour create a draft GST invoice for review. Approved invoices sync to Tally or your ERP. Shortening the gap between visit and bill helps cash flow, which often suffers when service reports travel on paper.
