Selling equipment is only the beginning

Medical equipment businesses sell through tenders, dealers and direct hospital relationships, then support what they sell for years. Every installed unit has a serial number, a warranty, perhaps an AMC or CMC, preventive maintenance schedules, and calibration records that hospitals ask for during audits.

We build software that manages that installed base: device records by serial number, service contracts and renewals, engineer scheduling and job reports, spare parts, and dealer or hospital ordering. For home-care equipment, rental and deposit workflows can be added.

Challenges

Service and sales challenges

  1. Untracked installed base

Devices in the field are not linked to contracts or service history.

  2. Missed maintenance

Preventive visits and calibration due dates slip.

  3. Contract renewals

AMC and CMC expiries go unnoticed until a breakdown.

  4. Tender paperwork

Quotations and compliance documents are assembled by hand each time.

Features for medical equipment companies

  • Installed-base registry

Every device by serial, site, warranty and contract.

  • Field service app

Engineer schedules, checklists, photos, parts used and customer sign-off.

  • Maintenance and calibration

Due dates generated per contract, with certificates stored against each device.

  • AMC and CMC management

Contract terms, renewals and billing reminders.

  • Home-care rentals

Rental periods, deposits, pickups and inspection checks.

How it works

How an installed device is looked after over its life

Each serial number carries its contract, maintenance schedule and service history.

  1. Service engineer

Step 1: Device installed and registered

Serial number, site, warranty start and the installation report are recorded at handover.

  2. Service system

Step 2: Maintenance scheduled from the contract

Preventive maintenance and calibration dates are generated from the warranty, AMC or CMC terms.

  3. Biomedical team

Step 3: Hospital logs a breakdown

The request is raised against the serial number, so coverage is known before an engineer is sent.

  4. Field service app

Step 4: Engineer visits and reports

Checklists, photos, parts used and the hospital's sign-off are captured on site, even without a signal.

  5. Hospital portal

Step 5: Certificates and history shared

Calibration certificates and job reports are attached to the device record, ready for audits.

  6. Sales team

    Step 6: Contract renewal prompted

AMC or CMC renewal quotes go out well before expiry, not after the next breakdown.

Then it starts again at step 1: Device installed and registered

Plain-English glossary

Equipment service terms, in plain English

AMC (annual maintenance contract)
A yearly contract covering preventive maintenance visits and labour, usually excluding major parts. Tracking AMC terms per device tells engineers what is covered before they arrive.
CMC (comprehensive maintenance contract)
A contract that covers parts as well as labour and visits. Because the parts cost falls on you, failure history per model matters when you price and renew it.
Preventive maintenance (PM)
Scheduled servicing that heads off breakdowns, generated from the contract. Missed PM visits risk device failures and findings in the hospital's audits.
Calibration certificate
A document confirming a device measures accurately, issued after testing against a reference standard. Hospitals need current certificates for accreditation and audits.

Field service app. Engineers see coverage before they start, complete checklists offline and close the job with parts used and the hospital's sign-off.
  • Medical equipment software hospital portal our devices table in a web browser, with 4 rows and status labels
Hospital portal. Hospitals see every device you service, what is due next and the certificates they need for accreditation, without calling your office.
  • Medical equipment software service desk dashboard in a web browser, with key figures and a chart
Service desk. The service desk tracks contracts, due visits, renewals and open breakdowns across the installed base, so maintenance and renewals stop slipping.

Cost drivers

Cost factors for medical equipment software

  1. Installed-base migration

Consolidating serials and contracts from spreadsheets needs clean-up time.

  2. Field service scope

Offline engineer apps with parts and sign-off add mobile effort.

  3. ERP and accounting links

Syncing invoices and parts stock with your ERP adds integration work.

Estimates are written from your scope, with the effort and assumptions behind each line item.

FAQ

Frequently asked questions

Can hospitals raise service requests directly?

Yes. A hospital portal or simple web form lets biomedical engineering teams log breakdowns against a device's serial number, attach photos and follow status updates. Requests are matched to the contract, so the system knows whether a visit is covered by warranty, AMC, CMC or chargeable. Engineers are assigned by location and skill, and the hospital receives the job report once work is complete.

How are calibration certificates and maintenance records stored?

Each device carries a history of preventive maintenance visits, calibrations, repairs and parts replaced. Engineers complete checklists in the field app, and calibration certificates are uploaded or generated and attached to the device record. Hospitals can download the history for accreditation or audit needs, and reminders go out ahead of the next calibration or maintenance date.

Can the system manage equipment rentals for home care?

Yes. Rental workflows cover booking, deposit collection, delivery and installation, rental periods with extensions, monthly billing through payment links or mandates, pickup scheduling, and cleaning or inspection checks before a unit goes out again. Each unit is tracked by serial number, so you always know where it is, who has it and when it was last serviced.
