From raw material to retail shelf

Food and beverage producers answer to shoppers, retailers and regulators at once. Every batch needs records of raw material lots, production dates and quality checks, and FSSAI licence details must appear correctly on labels and product listings. Shelf life drives dispatch: older stock must ship first, and near-expiry goods need a plan.

We build software that connects production, quality, warehousing and sales, so a product can be traced from ingredient lot to distributor invoice when a question or recall arises.

Challenges

Operating realities for F&B producers

  1. Traceability on paper

Batch records live in registers, making recalls slow and incomplete.

  2. Short shelf lives

Expiry-blind dispatch leaves distributors with stock they cannot sell.

  3. Recipe cost drift

Raw material price changes are not reflected in product costing.

  4. Channel differences

Distributors, modern trade, quick commerce and D2C each need different data.

Features for food and beverage makers

  • Batch and lot traceability

Ingredient lots linked to finished batches, pallets and invoices.

  • Quality checkpoints

Checklists and test results recorded per batch before release.

  • Expiry-led dispatch

First-expiry-first-out picking, with near-expiry alerts per warehouse.

  • Recipe and cost management

Formulations with yields and current raw material costs.

  • Label and listing data

Nutrition, ingredient, allergen and FSSAI details maintained once and reused.

How it works

How a batch is traced from ingredient lot to distributor invoice

Each scan links one step to the last, so a recall becomes a search instead of a hunt.

  1. Stores team

    Step 1: Raw material received

Supplier lots are recorded with quantities, supplier documents and a quality check on arrival.

  2. Production floor

    Step 2: Batch produced

The batch records which ingredient lots went in, the recipe version used and the yield.

  3. Quality team

Step 3: Quality check before release

Test results and checklists are recorded, and the batch cannot be dispatched until it passes.

  4. Warehouse

Step 4: Stored and picked by expiry

Pallets carry the batch code, and picking follows first-expiry-first-out so older stock leaves first.

  5. Dispatch team

    Step 5: Dispatched to distributors

Each invoice records the batch codes that left, per distributor and per channel.

  6. Quality head

    Step 6: Traced on demand

From any ingredient lot, see every batch and invoice it reached, or trace a finished pack back to its ingredients.

Plain-English glossary

Food production terms, in plain English

Lot traceability
Linking every ingredient lot to the finished batches it went into, and every batch to the invoices it shipped on. It turns a recall from days of register searches into a report.
FSSAI licence details
The Food Safety and Standards Authority of India licence information that must appear on food labels and listings. Storing it once and reusing it avoids mismatches across packs and channels.
Yield
How many finished packs a batch produced compared with what the recipe expected. Tracking it shows losses on the production floor and keeps product costing honest.
Near-expiry alert
A warning when stock in a warehouse is approaching its expiry date. It gives the sales team time to move it through a scheme or a closer market before it becomes a write-off.

  • Food and beverage software production app batch MS-0926 on a tablet, with input fields and an action button
Production app. Floor staff scan ingredient lots into each batch and record the yield, so the batch's make-up is captured while it is being made, not reconstructed later.
  • Food and beverage software traceability search trace: lot RM-CH-1188 table in a web browser, with 4 rows and status labels
Traceability search. The quality team traces an ingredient lot to every batch, invoice and warehouse bin it reached, which is what a recall or audit question needs quickly.
  • Food and beverage software warehouse app pick for INV-7752 on a phone, with 3 entries
Warehouse app. Pickers are directed to the batches that expire first, so distributors receive stock with enough shelf life left to sell.

Cost drivers

Cost drivers for F&B software

  1. Production complexity

Multi-stage processes and co-products need deeper modelling.

  2. Plants and warehouses

More sites add stock transfers, users and rollout effort.

  3. Equipment and accounting links

Weighbridges, label printers and accounting software add integration scope.

Estimates are written from your scope, with the effort and assumptions behind each line item.

FAQ

Frequently asked questions

How quickly could we trace a batch during a recall?

With lot-level records in place, a trace becomes a search rather than a hunt through registers: from a finished batch you can list its ingredient lots, and from an ingredient lot every batch and invoice it reached. How complete that trace is depends on how consistently lots are scanned at receiving, production and dispatch, so we design those steps to be quick for floor staff.

Can you help with FSSAI-related record keeping?

We build systems that store and reuse the information your food safety processes rely on: licence details, label data, batch records, quality checks and supplier documents. That makes audits and inspections easier to prepare for. We don't provide regulatory advice, so your food safety team or consultant should confirm which records and formats apply to your licence category and products.

Is a D2C store worthwhile for a packaged food brand?

It can be, for building customer relationships, testing new products and selling bundles or gift packs, even when most volume still goes through distributors and retail. Food D2C has its own considerations: remaining shelf life at dispatch, packaging that survives courier handling and heat, and which pincodes you can serve. We usually suggest a lean storefront connected to your existing inventory before investing in apps.
