Speed and regulars drive cafe economics

Cafes live on repeat visits and short queues. The same customers order the same drink several times a week, often with specific customisations, and the morning rush squeezes a large share of the day's orders into a few hours.

We build cafe software that shortens that rush: order-ahead from phone to counter, saved favourite drinks, customisations the barista can read at a glance and loyalty that rewards frequency. For chains, outlet reporting and central menu control keep every location consistent.

Challenges

Common cafe bottlenecks

  1. Morning queues

Office-goers walk away when the line looks long.

  2. Customisation errors

Milk, sugar, shots and sizes get lost between counter and bar.

  3. Paper stamp cards

Stamp cards are forgotten and tell you nothing about customers.

  4. Outlet drift

Menus, prices and recipes diverge between locations.

Cafe features we build

  • Order-ahead and pickup

Order in the app, pay by UPI and collect from a pickup shelf.

  • Drink customisation

Size, milk, shots and syrups with correct pricing and clear bar tickets.

  • Saved favourites

Reorder a usual drink in one tap.

  • Digital loyalty

Visit-based rewards and birthday offers tied to the phone number.

  • Multi-outlet control

Central menu, pricing and recipe standards with outlet reports.

How it works

How an order-ahead coffee skips the morning queue

App orders join the same bar queue as counter orders, sequenced by promised pickup time.

  1. Customer app

Step 1: Regular reorders their usual drink

A saved favourite, with milk, shots and syrups exactly as they like it, is reordered in one tap.

  2. Customer

Step 2: Pays by UPI and sees a ready time

The app shows a realistic ready time based on the queue at that outlet right now.

  3. Bar screen

Step 3: Ticket reaches the bar

The barista sees every customisation clearly, in line with walk-in orders by promised time.

  4. Barista

Step 4: Drink goes on the pickup shelf

Labelled with the customer's name or order number, so nobody has to shout across a crowded counter.

  5. Loyalty programme

Step 5: Visit counted for loyalty

Visit rewards and birthday offers are tied to the phone number, not a paper stamp card.

Then it starts again at step 1: Regular reorders their usual drink

Plain-English glossary

Cafe software terms, in plain English

Order-ahead
Customers order and pay in an app before arriving, then collect from a pickup shelf. It moves part of the morning rush out of the queue without adding staff.
PWA (progressive web app)
A website that behaves like an app: it opens from a QR code or link, can sit on the home screen and needs no app store download. For many cafes it is enough before a native app.
Drink customisation
Options added to a drink, such as oat milk, an extra shot or less sugar, each with its own price (often called modifiers). Set up properly, they print clearly on the bar ticket and price correctly on the bill.
Prepaid drink pass
A pass bought upfront that covers a set number of drinks. The software tracks redemptions, validity dates and which outlets accept it, so it works the same everywhere.

Cost drivers

Cafe software budget drivers

  1. POS replacement or integration

Working with your existing POS keeps cost lower, if it has an API.

  2. App versus PWA

A PWA is lighter; native apps add store releases and maintenance.

  3. Loyalty depth

Simple stamps are quick; tiers and paid memberships take longer.

Estimates are written from your scope, with the effort and assumptions behind each line item.

FAQ

Frequently asked questions

Does a cafe need a native app, or is a web app enough?

For a single cafe or small chain, a progressive web app opened from a QR code or link is often enough: customers can order ahead, pay and collect loyalty without installing anything. A native app becomes worthwhile when you have many regulars across several outlets and want push notifications, saved payment methods and richer loyalty. Both can share the same backend, so starting with a PWA doesn't waste work.

Can we run a coffee subscription or prepaid drink pass?

Yes. Common models are prepaid drink passes redeemed at the counter, monthly subscriptions with a fixed number of drinks, and bean subscriptions for home brewing shipped by courier. Recurring payments can run through UPI AutoPay or card mandates via your gateway. We build redemption limits, validity periods and outlet rules so a pass behaves the same way at every location.

How does order-ahead avoid clashing with walk-in orders?

The bar sees app orders in the same ticket queue as counter orders, sequenced by promised pickup time. The app shows a realistic ready time based on the current queue, and outlets can pause order-ahead during unusually busy spells. Pickup shelves labelled with order names or numbers keep handover quick without calling out every order across a crowded counter.
