Catering runs on quotes, headcounts and logistics

Event catering arrives as enquiries: a date, a guest count, a budget per plate and a long conversation about menus. Once confirmed, headcounts change, menus evolve and the kitchen needs ingredient quantities, staff and transport planned days ahead. Corporate canteens and tiffin services face the opposite pattern: the same customers every day, with meals to plan, skip and bill.

We build catering software for both: enquiry and quote management for events, and subscription meal operations for recurring customers.

Challenges

Where caterers lose hours

  1. Manual quotes

Menus and per-plate prices assembled in documents for every enquiry.

  2. Changing headcounts

Late guest-count changes break ingredient and staff plans.

  3. Payment milestones

Advances and balances tracked across chats and bank statements.

  4. Daily meal subscriptions

Skips, pauses and diet preferences managed in spreadsheets.

Catering features we deliver

  • Menu packages and quotes

Per-plate packages with add-ons, generated into branded quotes.

  • Requirement sheets

Ingredient quantities scaled from headcount and recipes.

  • Staff and logistics planning

Cooks, servers, vehicles and equipment assigned per event.

  • Milestone payments

Advance and balance links via UPI, with GST invoices.

  • Tiffin subscriptions

Customers skip or pause meals; the kitchen gets daily counts.

How it works

How an event enquiry becomes a served menu

The quote, headcount and recipes are linked, so changes flow through to the kitchen and the invoice.

  1. Sales team

    Step 1: Enquiry captured

Date, venue, guest count and budget per plate are logged against the client, not lost in a chat.

  2. Sales team

Step 2: Quote built from menu packages

Per-plate packages and add-ons generate a branded quote in minutes.

  3. Client

Step 3: Advance confirms the booking

A UPI payment link collects the advance, and the milestone schedule for the balance is set.

  4. Kitchen manager

Step 4: Headcount locked, ingredients scaled

Recipes and the final guest count produce ingredient quantities and a purchase list.

  5. Operations

Step 5: Staff and vehicles assigned

Cooks, servers, vehicles and equipment are allocated for the event day.

  6. Accounts

Step 6: Balance collected after the event

The final GST invoice reflects any headcount change, and the balance link goes out with it.

Plain-English glossary

Catering terms, in plain English

Per-plate package
A fixed menu priced per guest, such as a set number of starters, mains and desserts. Quoting from packages keeps pricing consistent across your whole sales team.
Requirement sheet
The list of ingredient quantities an event needs, scaled from recipes and headcount. It becomes the purchase list and updates itself when guest numbers change.
Milestone payment
A payment tied to a stage, such as an advance at booking and the balance after the event. Tracking milestones in the system replaces chasing amounts across chats and bank statements.
Daily cut-off
The time by which tiffin subscribers must skip or change the next day's meal. It gives the kitchen a firm count every morning and keeps billing accurate.

Cost drivers

Catering software cost factors

  1. Business model mix

Event catering and meal subscriptions are different modules with different users.

  2. Recipe data

Accurate requirement sheets depend on recipes being entered carefully up front.

  3. Subscriber app

A mobile app for tiffin customers adds scope beyond WhatsApp links.

Estimates are written from your scope, with the effort and assumptions behind each line item.

FAQ

Frequently asked questions

Can the system calculate ingredients from a guest count?

Yes, once recipes are recorded per standard batch or per plate. When an event menu and headcount are confirmed, the system scales each dish's ingredients, consolidates them into a purchase list and flags items already in stock. If the headcount changes, the requirement sheet updates automatically. Most caterers also add buffer percentages by dish type, which we make configurable.

How do tiffin subscriptions handle skips and diet preferences?

Subscribers set preferences such as vegetarian, Jain or no onion-garlic, and can skip a meal or pause for a date range from an app or WhatsApp link before a daily cut-off. The kitchen gets a consolidated count by meal type each morning, delivery staff get route lists, and billing adjusts for skipped meals automatically, with renewals through UPI AutoPay or payment links.

Can corporate clients receive monthly consolidated invoices?

Yes. For corporate canteens and office meal programmes, the system records daily meal counts per client or site, applies contract rates and generates a monthly GST invoice with a supporting report. Different rates for breakfast, lunch and special events can sit under one contract. Client administrators can view daily consumption through a portal, which reduces billing disputes at month-end.
