Custom orders and short shelf life

A bakery balances two kinds of business: walk-in sales of breads and pastries that last a day or two, and custom cake orders with messages, flavours, weights, photos and exact delivery times. Birthdays and festivals create sharp peaks, and a late cake spoils an occasion.

We build bakery software that captures custom orders completely, schedules deliveries in realistic slots, and turns confirmed orders plus sales history into daily production plans for the central kitchen and outlets.

Challenges

What bakeries juggle every day

  1. Incomplete custom orders

Details scattered across chats lead to wrong messages or flavours.

  2. Delivery time pressure

Midnight and same-day cake deliveries need tight scheduling.

  3. Day-end wastage

Unsold breads and pastries are written off at closing.

  4. Festive peaks

Festival pre-orders overwhelm phones and production planning.

Bakery features we build

  • Cake builder

Flavour, weight, shape, eggless option, message and photo upload with live pricing.

  • Delivery slot booking

Slots including midnight delivery, capped by kitchen and rider capacity.

  • Production planning

Daily bake sheets from confirmed orders and outlet sales history.

  • Festive pre-orders

Pre-order windows for festivals, with advance payment.

  • Wastage tracking

Unsold items recorded per outlet at closing to adjust tomorrow's plan.

How it works

How a custom cake order becomes an on-time delivery

Orders, capacity and production planning are linked, so the kitchen only accepts what it can finish.

  1. Website

Step 1: Customer designs the cake

Flavour, weight, shape, eggless option, message and photo are captured in one form with live pricing.

  2. Website

Step 2: Slot chosen within capacity

Only delivery slots with kitchen and delivery capacity left are offered, including midnight delivery.

  3. Customer

    Step 3: Advance paid online

UPI or card confirms the order; festive pre-orders take an advance to secure the date.

  4. Central kitchen

Step 4: Order joins the bake sheet

Tomorrow's production plan combines custom orders with forecasts from each outlet's recent sales.

  5. Delivery staff

Step 5: Delivered in the promised slot

Routes are planned by slot, and the customer gets a message when the cake leaves the kitchen.

  6. Outlet staff

Step 6: Leftovers recorded at closing

Unsold breads and pastries are logged per outlet, which adjusts the next day's plan.

Plain-English glossary

Bakery terms, in plain English

Delivery slot booking
Customers choose a delivery window, and each window has a capacity set by how many cakes the kitchen can finish and how many deliveries staff can make. When a slot fills, it disappears from the website.
Lead time
The minimum notice a product needs, such as a day for a tiered or photo cake. The website enforces it, so customers cannot book what the kitchen cannot make in time.
Bake sheet
The daily production plan that tells the central kitchen what to bake and how much. Built from confirmed orders and sales history, it replaces guesswork about tomorrow's demand.
Edible print
A photo printed on edible sheet for a photo cake. The order system checks the uploaded image's resolution, so the print does not come out blurred on the day.

Cost drivers

Bakery software cost factors

  1. Customisation options

More cake options and photo cakes need a richer builder and kitchen tickets.

  2. Outlets and central kitchen

Production planning across outlets adds modules and users.

  3. Delivery model

Your own delivery staff need routing and a rider app.

Estimates are written from your scope, with the effort and assumptions behind each line item.

FAQ

Frequently asked questions

How do we stop orders being booked for slots we can't handle?

Each delivery slot has a capacity based on how many cakes the kitchen can finish and how many deliveries riders can complete in that window. Custom cakes that need more preparation carry a minimum lead time. When a slot fills, it disappears from the website and app, and staff can raise or lower capacities on busy days or block slots entirely.

Can customers upload a photo for a photo cake?

Yes. The cake builder accepts an image upload, checks resolution and file type, and previews it on the chosen shape. The kitchen receives the image with the order ticket, ready for edible printing. We can also add a note field and an optional approval step if your team wants to confirm the design with the customer before baking begins.

Will production planning reduce wastage?

It helps by replacing guesswork with data. The daily bake sheet combines confirmed custom orders with forecasts from each outlet's recent sales on the same weekday, adjusted for festivals and local events. Recording unsold items at closing shows which products are over-produced and where. The numbers improve as history builds, and managers can always override the suggestions.
