When the shelf and the system disagree

Retailers usually come to us when stock figures stop being believable. The POS shows a size in stock but the shelf is empty; one store runs out of a fast seller while another has a dozen. The cause is rarely one bug. It is receiving without scanning, late transfers, returns that never re-enter stock and counts done once a year.

Retail inventory management software fixes this by making every stock movement a scanned, time-stamped transaction, with stores, the warehouse and online orders on one ledger. We build it for multi-store retailers, franchise networks and brands selling in stores and online, and fit it around your existing POS rather than replacing it on day one.

Challenges

Stock problems retailers bring to us

  1. Same product, different MRPs

New batches arrive with revised MRPs while old stock is still on the shelf. Tracking MRP by batch keeps billing within the printed price.

  2. Stock hidden in other stores

Staff turn customers away for items sitting in another branch.

  3. Transfers that go missing

Stock sent but never received leaves both stores wrong.

  4. Counts that disrupt trading

Annual counts close the store; rolling cycle counts by category do not.

  5. Reordering by gut feel

Dead stock in slow lines, empty shelves in fast ones.

Integrations

Systems the inventory ledger talks to

  • Billing

    • Your POS

Sales and returns update stock; price changes flow back to the tills.

  • Channels

    • Online store and marketplaces

Online orders reserve stock so a unit is not sold twice.

  • Accounting

    • Tally or Zoho Books

Purchases, transfers and write-offs posted as vouchers.

  • Compliance

    • GST e-invoicing and e-way bills

Through a GST Suvidha Provider for B2B and inter-state movements.

  • Hardware

    • Scanners and label printers

Android handhelds, Bluetooth scanners and thermal printers.

Solutions

Solutions retailers pair with inventory

  • POS software development

Custom point-of-sale software with offline billing, UPI QR payments, GST invoices, hardware integration and central control for multiple outlets.

  • Order management system development

A central order management system that collects orders from every channel, routes them to the right location and tracks them to delivery and payment.

  • ERP development

Custom ERP software connecting purchase, inventory, production, sales and GST compliance, alongside your existing accounting system.

  • B2B e-commerce development

Ordering portals and apps for manufacturers, distributors and wholesalers, with buyer-specific pricing, credit limits, bulk ordering and ERP sync.

Cost drivers

What affects the cost of a retail inventory system

  1. Stores, SKUs and volume

More data to migrate, more devices to roll out and heavier sync at peak billing hours.

  2. POS integration

A POS with an API is straightforward; an older desktop POS may need a local sync agent.

  3. Offline operation

Offline-capable apps with conflict handling add design and testing.

  4. Tracking depth

Batch, expiry, serial or size-colour tracking adds rules to receiving, counting and billing.

Estimates are written from your scope, with the effort and assumptions behind each line item.

How pricing works

Process

Rolling out across stores

  1. Stock-flow audit

We trace goods from vendor to shelf, including returns and transfers.

    You getStock-flow map

  2. Opening stock

Each store is counted so the system starts from verified figures.

    You getCount schedule

  3. Pilot store

One store and the warehouse go live, and system stock is compared with physical counts for a few weeks.

    You getVariance report

  4. Rollout

Other stores follow in batches with device setup and short training.

    You getRollout tracker

FAQ

Frequently asked questions

Can the software handle the same product with different MRPs?

Yes. Stock is tracked by batch, and each batch carries its own MRP and, where relevant, expiry date. When a cashier scans the item, the POS picks the batch being sold, either oldest first or by asking the cashier when MRPs differ. Reports show how much stock sits at each MRP, which helps when a manufacturer revises prices or older stock needs relabelling.

Will it keep working if a store loses internet?

Yes, if you need it to. Store apps save scans, receipts and transfers on the device and sync when the connection returns. Conflicts, such as the same transfer received twice, are flagged for a manager rather than silently overwritten. Billing continuity depends on your POS, and most modern POS systems bill offline and sync later. We test these failure cases deliberately.

Can it post entries to Tally?

Yes. Tally accepts data through its XML interface, so purchases, sales summaries, stock transfers and write-offs can be posted as vouchers on a schedule or after approval. We map your ledgers and stock groups first, then run the sync against a test company before switching on live posting. Zoho Books and most ERPs work the same way through their APIs.

Is RFID worth it for our stores?

Sometimes. RFID makes full-store counts far quicker and suits apparel and high-value goods, especially where suppliers tag items at source. It adds tag costs, readers and process changes, so for most retailers we suggest starting with disciplined barcode scanning and cycle counts. If counts still take too long, RFID can be piloted in one category without changing the rest of the system.
